The old adage ‘use the right tool for the right job’ can be applied to choosing technology – Excel is a brilliant tool when you need a spreadsheet.  However, when you need a database, trying to make Excel function as a database will end up taking more time and effort (and therefore cost) than using the right tool – Access.

Access may be the better choice if you:

  • have relational data – i.e., customers and orders, orders and products, students and scores.
  • have a large volume of data, which can result in your spreadsheets slowing down and becoming difficult to manage.

Users don’t need to be familiar wtih Access (or have any experience of it at all).  One of the key reasons for choosing Access is that user-friendly interfaces can be designed which address your specific business requirements.  Because of this, very little training is usually required, and lengthy documentation (which users rarely look at anyway) is not needed.  The user interface is a ‘safe layer’ between users and the data stored, and allows you more control over what can be edited.
